Individual Care Plans (PAI)
A PAI is a document signed by the parents and the head teacher. It sets out the adaptations required to accommodate a pupil with a chronic illness or serious allergy. The PAI PDF is generated automatically by the application — there is no upload of a signed document.
Create a PAI
- Menu Infirmary → PAI → New PAI.
- Select the pupil.
- Fill in:
- Condition: short label (e.g. Asthma, Type 1 diabetes, Peanut allergy) — this field is not encrypted.
- Emergency protocol: free-text field describing step by step what to do in a crisis (encrypted). There is no option to attach a file.
- Medications + dosages: structured list of usual and emergency treatments (encrypted).
- Dietary restrictions: optional field, linked to the canteen module.
- Treating doctor and Specialist: two separate contact fields.
- Valid from and Until: two dates delimiting the validity period.
- Click Save PAI.
If an active PAI already exists for the pupil, the new PAI is automatically versioned (v+1) and the previous version is archived.
Renewal
There is no automatic alert 30 days before expiry: renewal is manual.
To renew: PAI list → the relevant pupil → Renew link. The form opens pre-filled with the previous PAI’s data (condition, protocol, medications, restrictions, doctors), with dates shifted by one year. Review and adjust the information before submitting. Submitting creates a new version and automatically archives the previous one, keeping its version number.
Link with infirmary visits
The “PAI follow-up” reason is available when recording a visit, but it must be selected manually by the nurse — there is no automatic alert flagging an active PAI when a visit is recorded.
Confidentiality
The emergency protocol and medications are encrypted at rest. The condition label is not encrypted. Access to the PAI module is restricted to the nurse and the head teacher; access to this section is logged in the medical audit trail.
