Creating a product

A product describes a reusable billable item. When creating one, you fill in:

  • its label and type (category);
  • its billing frequency (monthly, annual, etc.);
  • an optional notice period (in months) for cancellable services;
  • a specific VAT rate if it differs from the institution’s default rate.

Composing a price schedule

A price schedule is a list of lines, each linked to a product, with an amount and a type:

  • Mandatory: applied automatically to every relevant student.
  • Optional: added only if it has been checked on the student’s record.
  • Conditional: subject to a rule based on the student’s data.

Each line can be restricted to a specific school level, or scoped to “Whole school”.

The “Whole school” scope is still being hardened technically: check that it applies correctly on your first invoices before relying on it broadly.

From schedule to invoice

When a pupil is enrolled or invoiced, the mandatory lines from their level’s price schedule are automatically included; optional lines are only added if the family has subscribed to the service.
