Report card life cycle

A report card goes through the following stages:

Collection → Appreciation entry → Head office validation → Published (= signed) → Archived

  • Collection: the period’s grades are gathered by subject.
  • Appreciation entry: each teacher writes the appreciation for their subject.
  • Head office validation: the head records the general comment and the class council’s decision (promotion, repeat year, distinction, encouragement, warning…).
  • Published / Signed: signing the class locks the report cards and makes them visible to families.
  • Archived: the report card is kept, no longer editable.

Sign and publish report cards

  1. Grades menu → Report cards → open the council for the relevant class and period.
  2. Check that the general comment and the council’s decision are filled in for every student (these fields are required before signing).
  3. Click Sign and publish.

This action is irreversible: it signs every report card for the class and period at once.

The notification e-mail is sent to families automatically as soon as the class is signed — there is no separate sending step.

A signed report card is immutable

Once signed, a report card can no longer be edited: not the grades, not the appreciations, not the general comment, not the decision. Any correction requires an administrative intervention outside the standard workflow.

Authenticity verification

Every published report card carries a SHA-256 verification code. This code can be checked on the public /verify page: enter the 64-character code to confirm the report card’s authenticity (or detect an altered or unknown document). There is no QR code printed on the PDF.

Appreciations with the AI assistant

AI-suggested appreciations are a subscription option (Azure OpenAI), enabled from Administration → Subscription. If the option is active:

  1. In the grade entry grid, or while writing the appreciation, click AI suggestion.
  2. The AI proposes a text based on the student’s grades.
  3. You can Use the suggestion, Copy it, or Dismiss it.

The appreciation remains under your editorial responsibility — you can always edit it before publishing.

Class council decision

The decision (promotion, promotion with reservations, repeat year, distinction, encouragement, work warning, conduct warning) is recorded by the head office before signing, together with the general comment. Like the rest of the report card, it becomes final at signature.

Parent access

Parents see their children’s report cards once they are published (signed), subject to the access rights attached to their custody link.

View and archive a report card

From the report card list, for each report card you can: View, Download the PDF, or Archive. There is no bulk export (ZIP or CSV): each action is performed report card by report card.
