Pricing grids

Schoolysoft manages tuition fees through pricing grids. A grid defines the products billed for a given school year; it is then applied automatically when a student is enrolled.

Prerequisites

  • Role: Administrator or Accounting

Creating a grid

  1. Pricing grid menu → New grid.
  2. Fill in:

  1. Click Create grid. The grid is created with Draft status.

Adding pricing lines

From the grid’s record, Pricing lines section → Add a line:

  • Label (e.g. Tuition fees, Canteen)
  • Line type: Mandatory, Optional or Conditional
  • Amount
  • School level concerned (or “Whole school”)
  • Conditions: for a Conditional line, a text expression (e.g. boursier == true) evaluated by the pricing engine at enrolment

Activating a grid

A grid must be activated to apply to new enrolments: Activate button on the grid list. Activating a grid automatically archives the previously active grid for the same school year. This action is logged in the audit log.

Editing an already-active grid immediately impacts new enrolments; enrolments already created under the previous pricing are not recalculated automatically.

Discounts, including sibling discount

Discounts (including the sibling discount) are not configured as a field on the pricing grid: they apply per student, through the Discounts module, independently of the grid used.

Generating invoices

There is no bulk invoice generation. Each invoice is created automatically at the time of the student’s enrolment file, from the active pricing grid matching their level and school year, then issued individually (see Managing invoices).

Online payment by zone

Parents pay from their family portal depending on the school’s zone (see Payment methods):

  • Stripe — France, Europe
  • Flutterwave (Mobile Money) — Sub-Saharan Africa
  • External link — other zones

Collection tracking

Collection indicators (collection rate, unpaid receivables, overdue invoices) are available in Reporting (financial dashboard), not in a “Reports” tab within the Billing module.

Automatic reminders

Reminders for overdue invoices are automatic and fixed: D-3, D+1, D+8, D+15, then D+30 (move to Severely overdue status with a formal notice). They are not configurable — see Managing invoices.
