Declare a paper document

When a family hands over a document in physical (paper) form, you can record it directly in Schoolysoft without having to scan it. This lets you track that the document was received without going through a file upload.

When to use this feature

  • The family hands the document to the school in person.
  • The document is not available in digital format.
  • You still want to track that the document has been received.

Procedure

  1. Open the relevant enrolment file record.
  2. In the Supporting documents section, click Declare a document.
  3. In the window that opens, fill in:
    • Document type* (selected from the list of required types).
    • Label* (200 characters maximum).
    • Note (optional).
  4. Click Declare.

The document moves directly to Validated status.

The declaration is recorded with the date and the user who made it. It does not appear in the file record’s timeline.

Document statuses

Edit or cancel a declaration

A declaration cannot be deleted once created. If a mistake was made, contact an administrator to correct the file.
