Enrol a student: full guide
Step 1: launch the enrolment wizard
- Students menu -> Add a student.
- The enrolment wizard opens in 4 steps: Student, Guardian, Enrolment, Summary.
Step 2: Student
Fill in the student’s identity (last name, first name, date of birth, gender) or select an existing student.
Step 3: Guardian
Add the legal guardian(s). At least one guardian is required to submit the enrolment.
Step 4: Enrolment
Choose the academic year and the requested level. This level choice determines the student’s placement — there is no separate “Assign to a class” step.
Step 5: Summary
Review the entered information, then confirm to create the enrolment file (Draft status).
Completing the file
Once the file is created, open its record to:
- Supporting documents: attach the required documents (birth certificate, health record, ID photo, previous school certificate). Missing documents are shown directly on the file record.
If a document is provided on paper (no digital file), use Declare a document from the file record rather than blocking submission. See Declare a paper document.
Pricing
On the file record, the Fee schedule section lets you apply or change the fee. Once the file is Validated by school admin, the Pricing & Billing section lets you calculate the fee and then generate the invoice or contract.
Decide on admission
On the file record, Decision section, four choices are offered:
- Admit: the file moves to Validated by school admin status.
- Waiting list: awaiting an available place.
- Under review: the file stays under consideration.
- Refuse: a reason is mandatory.
Next step: contract and payment
After admission, the contract is signed electronically by the legal guardians and the enrolment fees are then paid. The file then moves successively to Contract signed and Paid status.
Special case: cancelled enrolment
If a file was cancelled by mistake, it can be returned to draft by a school admin or Head. See Reactivate a cancelled enrolment.
